The re-keying problem

Every time a tenancy ends you have a decision to make, and both options are bad. Change the locks — a locksmith callout, per property, every turnover. Or don't, and accept that you have no idea how many copies of that key exist. The outgoing tenant hands back two. Were there ever only two? Nobody knows. A key cut at a shop for £4 leaves no trace.

Most landlords quietly take the second option, because the first one doesn't scale. At one property it's an annoyance. At eight it's a real line in the budget and a scheduling headache every time somebody moves out.

Then there's everyone else who needs to get in. Gas safety checks. EPC assessors. Viewings while the current tenant is still living there. A contractor fixing a boiler on a Tuesday. Each one is a key handed over and hopefully returned, or you driving over to let them in yourself.

Deposit disputes and access records

One benefit that doesn't show up in the sales pitch: an access log is evidence. If a tenant disputes when they moved out, or a contractor says they attended and didn't, or there's an argument about who was in the property when something got damaged, you have timestamps instead of recollections.

It's worth telling tenants the log exists — not as a threat, just as a fact. Under UK GDPR you're processing data about when a person entered their own home, so being upfront about it in the tenancy paperwork is both the fair thing and the safe thing.
